How an engagement begins

We have refined this intake process over 22 years. It removes the uncertainty that makes working with a new law firm uncomfortable.

    Initial conflict check and introductory call

    We run a conflict check before the first call. If there is no conflict, a 30-minute call with the relevant partner follows — no intake questionnaire, no junior associate screening.

    Matter scope and engagement letter

    We document the scope, the team, the fee structure, and the expected timeline. You receive the engagement letter within 48 hours of the introductory call.

    Active representation

    Your matter is assigned to a named partner and, where appropriate, a specialist attorney. All substantive work is reviewed at the partner level before it reaches you.

    Post-matter debrief and ongoing availability

    At the close of every matter we conduct a structured debrief, document any open items, and confirm ongoing availability for follow-on questions at no charge for 30 days.

Our standards on confidentiality and conflicts

Every matter is handled under strict attorney-client privilege. We do not discuss client engagements or identify clients by name in any marketing material without written consent. Our conflict-check process is run before any substantive information is shared — if a conflict exists, we will tell you immediately and refer you to qualified independent counsel.

Conflict management

Solano & Associates maintains a firm-wide conflict register updated in real time. Attorneys are prohibited from accepting any engagement where a material conflict exists. In cases of potential — but not material — conflicts, we disclose fully and obtain informed written consent from all affected parties before proceeding. We do not rely on ethical screens as a substitute for conflict resolution.

File retention and data handling

All client files are retained for a minimum of seven years following the close of a matter, in accordance with applicable bar rules. Physical files are stored in a secure off-site facility. Digital files are encrypted at rest and in transit. We do not use client documents to train any AI or machine-learning system. Clients may request the return or destruction of their files at any time after the mandatory retention period.

Fee transparency

We provide itemised billing on a monthly basis for all hourly engagements. Fixed-fee arrangements include a written scope document specifying what is and is not included. We do not charge for routine administrative tasks, file transfers, or post-matter questions within 30 days of close.
